Privacy Policy

Last updated: September 1, 2024

This Privacy Policy explains how [Vör Studio LLC] ("Vör Studio," "we," "us," or "our") collects, uses, and shares personal information when you visit vor-studio.com (the "Site"), contact us, subscribe to our emails, work with us, or otherwise interact with us. It also explains the choices and rights you have.

The short version

  • We collect what you give us, like your name and email when you book a Growth Audit, plus basic technical data about how the Site is used.

  • We use it to respond to you, deliver our services, improve the Site, and send updates you asked for.

  • We do not sell your personal information.

  • You can ask us to show you, correct, or delete your information at any time by emailing [privacy@vor-studio.com].

1. Scope

This policy applies to personal information we collect through the Site and through related interactions with you, including email, phone calls, video meetings, events, and social media.

It does not apply to personal information we process on behalf of our clients under a services agreement (see Section 10), or to third-party websites and services that we link to or use.

2. Information we collect

Information you give us

  • Contact and inquiry details. Your name, email address, phone number, company name, job title, website, and anything you tell us about your business and goals when you book a Growth Audit, request a consultation, or complete a form.

  • Communications. Emails, messages, meeting notes, recordings (only with your permission), and files you share with us.

  • Email subscriptions. Your email address and preferences if you sign up for updates.

  • Client and billing information. If you become a client, your contract details, billing contact information, and payment details. Payments are handled by our payment processors, and we do not store full card numbers.

  • Survey and event responses. Information you provide when you answer a survey, register for an event, or give us feedback.

Information collected automatically

  • Device and usage data. IP address, browser type, device type, operating system, referring website, pages viewed, time spent on pages, and approximate location (city or region) based on IP address.

  • Cookies and similar technologies. See Section 5 for details and your choices.

Information from other sources

  • Public and professional sources. Business contact information from company websites, professional networks such as LinkedIn, news coverage, and other public sources.

  • B2B data providers. Business contact information (such as name, title, company, and work email) from business data and sales intelligence providers. We use this to identify and contact businesses that may benefit from our services.

  • Referrals. Information from clients, partners, or contacts who introduce you to us.

  • Social media. Information you make available when you interact with our social media accounts, subject to your settings on those platforms.

We do not intentionally collect sensitive personal information through the Site, such as health information, government ID numbers, financial account numbers, or precise geolocation. Please do not send it to us through our forms.

3. How we use information

We use personal information to:

  • Respond to your inquiries and schedule and hold consultations and Growth Audits.

  • Provide, manage, and bill for our services, and communicate with you about your engagement.

  • Send marketing emails and business outreach about our services. Every marketing email includes a way to unsubscribe.

  • Operate, secure, and improve the Site, and understand which content is useful to visitors.

  • Measure the performance of our marketing.

  • Detect and prevent fraud, spam, and abuse, and protect our rights and the rights of others.

  • Comply with legal, tax, and accounting obligations.

  • Carry out any other purpose we describe to you when we collect the information, or with your consent.

We do not use personal information to make decisions about you based solely on automated processing that produce legal or similarly significant effects.

4. How we use AI tools

Vör Studio is an AI-native studio. We use AI-powered tools from third-party providers to help us work, for example to draft documents, summarize meeting notes, research markets, and analyze marketing performance. Information you share with us may be processed through these tools as part of that work.

We use these providers as service providers under their business terms, we limit what we share to what a task requires, and a person on our team reviews the work we deliver. If you would prefer that we not process your information with AI tools, tell us and we will work with you on an alternative.

5. Cookies and analytics

Cookies are small files stored in your browser. The Site is hosted on Squarespace, which uses cookies that are necessary for the Site to function (for example, for security, performance, and remembering your cookie preferences), as well as analytics cookies that help us understand how visitors find and use the Site.

We use analytics tools, including Squarespace Analytics, to see aggregated information such as traffic sources, popular pages, and general visitor location. We use this information to improve the Site and our content.

Advertising. We do not currently use advertising cookies or tracking pixels to follow you across other websites for targeted advertising. If that changes, we will update this policy and provide any opt-out choices required by law.

Your choices. You can block or delete cookies through your browser settings, and you can manage non-essential cookies through our cookie banner where it is shown. Blocking necessary cookies may affect how the Site works.

Browser signals. There is no common industry standard for "Do Not Track" signals, so the Site does not respond to them. Where required by applicable law, we treat a Global Privacy Control (GPC) signal as a request to opt out of the sale of personal information or its use for targeted advertising for that browser.

6. How we share information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share personal information only in the following situations:

  • Service providers. Companies that help us run our business, such as website hosting (Squarespace), email and productivity (Google Workspace), CRM and sales tools, scheduling, analytics, AI tools, payment processing, accounting, and project management. They may use personal information only to provide services to us.

  • Subcontractors and collaborators. Vetted designers, developers, and specialists who help deliver client work, bound by confidentiality obligations.

  • Professional advisors. Lawyers, accountants, and insurers, when needed.

  • Legal and safety reasons. When we believe disclosure is required by law, subpoena, or court order, or is needed to protect the rights, property, or safety of Vör Studio, our clients, or others.

  • Business transfers. In connection with a merger, acquisition, financing, or sale of all or part of our business, subject to this policy.

  • With your permission. For example, we publish a client name, quote, or case study only with the client's approval.

We may also share aggregated or de-identified information that cannot reasonably be used to identify you.

7. How long we keep information

We keep personal information only as long as we need it for the purposes described in this policy, unless a longer period is required or permitted by law. In general:

  • Inquiries that do not become engagements: up to three years after our last interaction.

  • Client records: for the length of the engagement and afterward as needed for tax, accounting, and legal purposes, typically up to seven years.

  • Email subscriptions: until you unsubscribe. We then keep your email address on a suppression list so we honor your choice.

  • Analytics data: according to the retention settings of our analytics providers.

8. How we protect information

We use reasonable administrative, technical, and physical safeguards to protect personal information, including encrypted connections (HTTPS), access controls, multi-factor authentication, and secure password management. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a data breach affects your personal information, we will notify you as required by applicable law.

9. Your rights and choices

Choices available to everyone

  • Unsubscribe from marketing emails at any time using the link in any email, or by emailing us.

  • Opt out of business outreach by replying "remove me" to any outreach email or by emailing us. We will stop contacting you.

  • Access, correct, or delete your information by emailing us.

  • Control cookies through your browser settings and our cookie banner.

U.S. state privacy rights

Depending on where you live, including California, Colorado, Connecticut, Virginia, Texas, Oregon, and other states with consumer privacy laws, you may have the right to:

  • Know and access the personal information we hold about you, including the categories of information, sources, purposes, and recipients, and receive a copy in a portable format.

  • Correct inaccurate personal information.

  • Delete personal information we collected from or about you, subject to legal exceptions.

  • Opt out of the sale of personal information, targeted advertising, and certain profiling. We do not engage in these activities.

  • Limit the use of sensitive personal information. We do not intentionally collect it.

  • Not be discriminated against for exercising any of these rights.

We extend these rights to all U.S. residents, whether or not a specific state law requires it.

How to make a request

Email [privacy@vor-studio.com] with the subject line "Privacy Request," or write to us at the address in Section 15. We will verify your request by matching the information you provide with information we already have, and we will respond within the time required by law, generally within 45 days. You may use an authorized agent to make a request on your behalf, and we may ask for proof of the agent's authority and verify your identity directly.

Appeals. If we decline your request, you may appeal by replying to our decision with "Appeal" in the subject line. We will respond to your appeal within the time required by law. If you are not satisfied with the result, you may contact your state attorney general.

10. Information we process for our clients

When we provide services to clients, we may handle personal information that belongs to our clients' customers, leads, or employees, such as email lists, CRM records, or website analytics. In those cases, we act as a service provider or processor on our client's behalf, our client's privacy policy governs that information, and our use of it is limited by our agreement with the client. If you want to make a request about that information, please contact the relevant client directly. We will help them respond.

11. Visitors outside the United States

Vör Studio is based in Pennsylvania, and we process and store information in the United States. Data protection laws in the U.S. may differ from those where you live. When required, we rely on appropriate safeguards for international transfers, such as standard contractual clauses offered by our service providers.

If you are in the European Economic Area, the United Kingdom, or Switzerland, we process your personal information on the following legal bases: to take steps at your request before entering into a contract and to perform a contract with you; for our legitimate interests in running, marketing, securing, and improving our business, balanced against your rights; to comply with legal obligations; and with your consent, such as for certain marketing emails and non-essential cookies. You may have the right to access, correct, delete, restrict, or port your personal information, to object to processing, and to withdraw consent at any time. You also have the right to lodge a complaint with your local data protection authority.

12. Children's privacy

The Site is intended for business audiences and is not directed to children under 16. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, contact us and we will delete it.

13. Third-party links and services

The Site may link to or embed third-party websites and services, such as social media platforms and scheduling tools. Their own privacy policies govern how they handle your information, and we are not responsible for their practices. We encourage you to review their policies.

14. Changes to this policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date at the top. If we make material changes, we will provide notice on the Site or by email before the changes take effect.
